This Acceptable Use Policy explains what you can and cannot do when using Vortex Files. We built this platform for agencies and creatives to securely share files with clients. We expect everyone to use it responsibly and legally.

Vortex Files is operated by QVXX Ltd., a UK company committed to maintaining a safe, legal, privacy-respecting platform for agencies and creatives.
Our Philosophy:

- ✓ Trust-Based: We expect professional, legal use and respond firmly to violations
- ✓ Responsive: Reports are reviewed promptly during business hours (Mon-Fri, 9am-6pm UK time)
- ✓ Zero Tolerance: Absolute no-compromise stance on illegal content (CSAM, malware, threats)

2. Prohibited Content
2.1 Illegal Content - Zero Tolerance
Child Sexual Abuse Material (CSAM)
- ✗ Any images, videos, or content depicting minors in sexual situations
- ✗ Cartoon or digitally created CSAM
- ✗ Links to or discussion of CSAM
Consequence: Immediate account termination + reporting to NCMEC and law enforcement. No warnings, no appeals, no exceptions.
2.2 Other Illegal Content
- Pirated movies, TV shows, music, software, or games
- Stolen credentials (passwords, credit cards, personal information)
- Counterfeit goods, fake documents, or forged materials
- Content depicting or promoting illegal drug manufacturing
- Content related to human trafficking or exploitation
2.3 Malware and Viruses
You may NOT upload or distribute:
- Viruses, trojans, worms, ransomware, or spyware
- Keyloggers, backdoors, or remote access tools
- Cryptominers or other resource-hijacking code
- Exploits or tools designed to compromise security
2.4 Copyright Infringement
You may NOT upload content that violates intellectual property rights:
- Files you don't own or have permission to share
- Client work you're not authorized to distribute
- Stock photos, fonts, or assets without proper licensing
- Music, video, or images you don't have rights to

2.5 Phishing and Spam
- Fake login pages or credential-stealing websites
- Fraudulent invoices or payment requests
- Impersonation of Vortex staff or other users
- Mass unsolicited file sharing or messages
- Comment spam with external links
2.6 Abusive Behavior
- Harassment, threats, or intimidation of other users
- Hate speech or discrimination based on protected characteristics
- Non-consensual intimate images ("revenge porn")
- Doxxing (publishing private information without consent)
3. Platform Abuse
You may NOT:
- Access accounts other than your own
- Share login credentials to bypass user limits
- Probe, scan, or test our infrastructure without permission
- Interfere with or disrupt Vortex services
- Use Vortex as primary backup storage (not designed for this)
- Hotlink files from external websites (using Vortex as CDN)
- Automate mass downloading or scraping
- Circumvent file size, storage, or bandwidth limits
4. User Responsibilities
4.1 Account Security
You must:
- Keep your login credentials confidential
- Use a strong, unique password
- Report suspicious activity immediately
- Revoke access for team members who leave your agency
- Use secure, up-to-date browsers and devices
4.2 Content Responsibility
Before uploading files, ensure:
- You have the legal right to upload and share the content
- Client has authorized you to upload their files
- Content does not contain malware or viruses
- You have proper licensing for stock assets, fonts, music
- Content complies with applicable laws in your jurisdiction
5. Enforcement
5.1 How We Enforce
Vortex Files uses a privacy-respecting, report-driven enforcement model.
We Do NOT:
- • Proactively scan or monitor your private file contents
- • Use automated AI content analysis on your uploads
- • Review files unless violations are reported or legally required
We DO:
- • Employ standard security measures (rate limiting, encryption, access controls)
- • Respond seriously and promptly to every abuse report
- • Investigate flagged content thoroughly
- • Remove policy violations immediately upon confirmation
- • Report illegal content to authorities as required by law
- • Maintain absolute zero tolerance for CSAM, malware, and credible threats
- • Monitor system health and detect unusual usage patterns (excessive uploads, abuse indicators)
Enforcement is primarily driven by user reports. We rely on our community to help keep the platform safe by reporting violations to compliance_vortexfiles@qvxx.ai.
5.2 Enforcement Actions
Minor violations (good-faith mistakes):
- First offense: Warning email + content removal
- Second offense: 7-day account suspension
- Third offense: 30-day account suspension
- Fourth offense: Permanent account termination
Serious violations (immediate action):
- CSAM: Immediate termination + NCMEC report + law enforcement
- Malware distribution: Immediate termination
- Credible threats of violence: Immediate termination + law enforcement
- Repeat copyright infringement: Permanent termination (three strikes)
5.3 Appeals Process
If you believe enforcement action was incorrect, email compliance_vortexfiles@qvxx.ai within 14 days. No appeals for CSAM, malware, or credible threats.
6. Reporting Violations
All reports are reviewed during business hours (Monday-Friday, 9am-6pm UK time). Reports received outside these hours are processed the following business day.

Report: CSAM or child exploitation
Upon receiving a CSAM report, we:
- 1. Review immediately when received during business hours
- 2. Remove content pending investigation (typically within hours)
- 3. Permanently terminate associated accounts
- 4. Report to NCMEC as required by law (typically within 24 hours)
- 5. Preserve evidence for law enforcement
- 6. No warnings, no appeals, no exceptions
Reports received outside business hours are processed first thing the next business day.
7. Law Enforcement Cooperation
We are REQUIRED BY LAW to report:
- Child Sexual Abuse Material (CSAM) to the National Center for Missing & Exploited Children (NCMEC) as soon as reasonably possible upon discovery, in compliance with 18 U.S.C. § 2258A. We prioritize these reports and typically submit within 24 hours of confirmed discovery.
We VOLUNTARILY report when we discover:
- Credible threats of violence or imminent harm
- Terrorism-related content or threats
- Child endangerment or exploitation
- Human trafficking
We comply with valid legal requests:
- Court-ordered subpoenas
- Search warrants
- Judicial orders
Transparency Commitment: We are committed to transparency about platform safety and law enforcement cooperation. As the platform matures, we intend to publish information about abuse reports, enforcement actions, and law enforcement requests. We will begin regular transparency reporting when report volumes justify dedicated reporting (anticipated Year 2+). Users may request general statistics by emailing compliance_vortexfiles@qvxx.ai.
8. Updates to This Policy
We may update this policy when laws change or new abuse patterns emerge.
Material changes:
- 30-day advance notice via email
- In-app notification banner
- Effective date updated at top of policy
Continued use after changes = acceptance of updated policy.
If you disagree with changes, you may cancel your account before the effective date and export your data within 30 days.
